Position Summary:
The Coordinator of CME is responsible for coordinating and managing all Continuing Medical Education events in compliance with accreditation standards.
  • Ongoing review of accreditation; regulatory and company requirements for the Medical Staff/APP Staff/Medical Staff Services and Continuing Medical Education.
  • Ongoing review of the Medical Staff governance documents (Bylaws, Rules and Regulations, Policies and Manuals).
  • Identifies CME offerings as outlined by The Joint Commission accreditation requirements and coordinates and manages these events to be in compliance with KMS/ACCME accreditation standards
  • Prepares CME Transcripts for physicians upon request
  • Identifies CME offerings for Wesley Medical Staff members
  • Provides ongoing education/training for staff and for members of the CME Committee relating to ACCME standards for accreditation and documentation requirements.
  • Manages CME activity finances, tracks income/expenses, and reconciles CME 205 -475 account with the Finance Dept. Liaison on a monthly basis
  • Prepares annual CME Report for the Kansas Medical Society
  • Balances team and individual responsibilities, is objective and open to other's views, gives and welcomes feedback, contributes to positive team goals
  • Facilitate meetings and manages correspondence and communication, in coordination with CME Chair/Committee
    • Develop agenda, record and maintain minutes according to policy, coordinate follow up
    • Archive following file retention guidelines as outlined for Kansas
  • Record CMEs into database

Job Description:

KHSC- KansasCOM is currently seeking a Director of Admissions to manage and facilitate operations regarding admissions and support processes. This role will report directly to the Associate Dean for Student Affairs and Services.

The Director of Admissions serves as the primary leader in the KHSC-KansasCOM Office of Admissions.  The Director of Admissions designs and implements a wide range of enrollment management functions and services, including but not limited to, all enrollment strategies and tactics.  In addition, the Director of Admissions will oversee the day-to-day management of the department and plays an important leadership role in the Office of Student Affairs and Services, working directly with the Director of Student Affairs, Registrar, and Director of Financial Aid in a leadership capacity.  A successful candidate will be self-motivated, collaborative, and mission-driven to support KHSC students and initiatives.

Responsibilities include, but are not limited to:

  • Leads and develops all strategies and outreach efforts to successfully attract and recruit prospective student candidates to achieve enrollment goals.
  • Collaborates with marketing to ensure the development and production of student recruitment literature/media. 
  • Achieves enrollment goals by utilizing student information and other data management systems to report and evaluate information and create data-driven decisions and recommendations.
  • Provides the day-to-day leadership over operations and the management of the admissions staff including hiring, coaching, and mentoring to ensure admissions department staff development to achieve enrollment goals.
  • Effectively oversees the lifecycle of the student application through matriculation.
  • Facilitates the execution of interview days, including deciding whether the interview day will be virtual or in-person, choosing interview dates, identifying and selecting candidates to invite, overseeing the implementation of logistics and communications for the interview day, providing guidance/assistance in the assigning of interviewers, communicating with department heads and faculty, corresponding with student candidates, duties as assigned.
  • Directs and assists in processing of student applications, responding to prospective student inquiries monitoring distribution of forms, and providing information for all programs. 
  • Manages the department’s budget and ensures adherence to policy and procedures. 
  • Works on the Student Affairs Leadership Team (SALT) with leaders of the Offices of the Registrar, Financial Aid, and Student Affairs to meet goals and ensure that KHSC-KansasCOM is student focused. 

Required knowledge, skills and abilities:

  • Possess excellent interpersonal and verbal communication skills
  • Ability to balance multiple competing projects and priorities, while managing stressful deadlines, with a focus on positive results.
  • Knowledge of legal issues in enrollment management/higher education and a demonstrated commitment to advocating for diversity, inclusion, and multiculturalism are essential
  • Analytical and critical-thinking skills required to assess situations and determine the best method of dealing with such issues based on KHSC policies. 

Position Qualifications:

  • Bachelor’s degree required, Master’s degree preferred. 
  • Minimum 3-5 years of experience in admissions, with demonstrated progressive professional growth. 
  • Ability to work a flexible schedule including evenings and weekends.
  • Ability to travel to medical school related recruitment fairs and national conferences

Job Description:

This person should have an informed vision of excellent clinical experiences that our medical students and future alumni will need. The Assistant Dean for Clinical Education will need good interpersonal skills to successfully work with a variety of professionals in this process. While responsibility is for the clerkships, the individual will have senior administrative collaborators.

SPECIFIC RESPONSIBILITIES:

  • Lead the creation of clinical clerkships that will satisfy the COCA requirements of 120% capacity of the intended class size for all core and elective rotations as identified by the Dean
  • Ensure that all clinical rotation-related elements are ready at a reasonable time prior (as determined by the Senior Associate Dean for Academic Affairs to when medical students enter clinical training
  • Ensure that all clinical rotations for medical students are appropriate and high quality as well as meets accreditation standards 
  • Oversee the quality and improvement of the clinical rotations to assure their effectiveness
  • Establish metrics to evaluate student and clinical preceptor performance
  • Assist the Senior Associate Dean for Academic Affairs in developing, implementation, and overseeing student assessment and testing processes and procedures for the clinical portion of medical student training
  • Develop, implement, and oversee processes and procedures for the implementation of clinical rotations
  • Develop, implement, and oversee the continuous improvement of the clinical rotation portion of the Student Handbook (Academic Handbook) and selected academic policies and procedures with all final changes subject to approval of the Dean
  • Assist with the integration of the Director of Clinical Clerkship Coordinators, Clerkship Coordinators, and Clerkship Directors/Regional Dean/Core Site Directors
  • Foster a positive culture amongst the preceptors
  • Serve on selected committees at the discretion of the Dean
  • Supervise the administration of subject exams and clinical curriculum content delivery
  • Ensure prompt payment of clinical faculty/preceptors per organizational policies
  • Assist the Dean in accreditation functions to include document creation, data collection, data entry, education of faculty on accreditation, and other accreditation-related functions at the discretion of the Dean
  • Perform other related duties, as assigned

SUPERVISORY RESPONSIBILITIES:

Supervises the following (once they are hired): Director of Clinical Clerkship Coordinators, Clerkship Coordinators, and Clerkship Directors/Regional Dean/Core Site Directors, administrative assistant.

QUALIFICATION(S):

  • Possess a medical degree in such as a DO or MD with a strong background in medical education. Preference will be given to candidates with a DO and to those with a prior experience in this role as an associate/assistant/dean at a new osteopathic medical school. 
  • Experience with developing online, hybrid, flipped classroom and other innovative learning experiences preferred.
  • Previous experience serving as a faculty mentor.
