Responsibilities:

The responsibilities of the Unit Clerk are to provides assistance to the nursing staff by performing clerical and record keeping functions in a hospital with patients ranging in age from 18 years to geriatric experiencing medically complex conditions, general medical-surgical conditions, with rehabilitation and/or wound care needs.

The Unit Clerk duties include:

  • Demonstrates proper performance of skills reflected and validated by the Unit Clerk competency checklist.

  • Prioritizes and works independently in organizing the nursing unit station, keeping station clean and presentable.

  • Ensures call lights and telephone are answered in a timely manner and ensures messages are recorded and delivered in a timely manner.

  • Serves as liaison between physicians, staff members and other departments.

  • Answers telephone in a courteous manner exchanging information in an appropriate manner which requires good oral and written communication skills.

  • Properly plans/organizes work for assigned shift to properly utilize time, resources, manpower and supplies to ensure patient receives appropriate quality care.

  • Maintains confidentiality of privileged information.

  • Adheres to CHG policies, procedures, all safety plans, and all standards imposed by regulatory organizations. 

  • This description is a general statement of required essential functions performed on a regular and continuous basis.

  • Perform other duties as assigned.

Qualifications

Minimum Qualifications:

  • Ability to project a professional image.
  • Displays positive customer service and telephone skills. 
  • Knowledge of regulatory standards, compliance requirements and hospital policies and procedures.

About the Role

Under the direction of the Unit Clerk Coordinator, the Unit Clerk is responsible to organize the activities of the nursing unit by performing clinical and receptionist duties and maintaining the physical environment of the area.

EDUCATION:

High School diploma required.

WORK EXPERIENCE:

Minimum of one (1) year experience in a clerical or secretarial position required or two (2) years experience as a CNA required.

Controls and requisitions clerical and resident supplies for the day-to-day operation of the unit. Makes every effort to ensure that supplies are available on the off shifts (3-11, 11-7, weekends and holidays). Receives and places supplies in their proper storage area. Develops and maintains a system staff will utilize to order supplies not available on unit. Adjusts PAR list as necessary. Delivers mail and daily newspaper to residents.

Places calls to physicians as instructed by charge nurse and processes physician orders daily. Checks physician phone order slip for completeness. Completes routing slips, laboratory and x-ray requests, etc. Prepares weekly update of physician and podiatry visitation list.

Schedules outside appointments and coordinates transportation for the residents. Reviews resident in-house schedules daily for PT, Beauty Shop, etc., and reminds assigned Certified Nurse Aide 15 minutes prior to appointment for timely transportation. Accompanies and transports resident to other departments within the facility whenever necessary.

Develops and maintains accurate record keeping and filing systems in accordance with facility requirements. Keeps unit binder current for use by relief unit clerks. Files documents appropriately in resident’s charts. Thins medical records according to facility guidelines. Performs clerical duties related to admission, transfer and discharge of residents. Tracks TB testing on new admissions.

Registers residents for hospital appointments. Makes resident and/or family aware of all appointments. Makes packet for resident to take on appointment. Faxes resident medical information to hospital and physician office as necessary. Schedules hair appointments with facility beauty shop.

Answers call bells. Assist in feeding residents if CNA license is current.

Prepares monthly flow sheets, such as vital signs, body check, Intake and Output, etc. for staff use. Responsible for checking residents weekly to assure the presence of an indents-band and replaces missing bands as stated in the IDENTA-BAND POLICY.
